- Epost er en gammeldags måte å jobbe på! Pell deg ut av innboksen og du vil få et bedre liv!

De som har fulgt mine foredrag opp gjennom årene vil nikke gjenkjennende. De vet at dette nærmest har vært et mantra i alle de presentasjonene jeg har holdt landet rundt. Jeg følger selv de kjente GTD-prinsippene (Get Things Done). Når jeg avslutter arbeidsdagen er det aldri mer enn fem -5- eposter i min innboks. Og de er der fordi jeg skal gjøre noe med dem dagen etter og deretter slette dem!

5 Om Dagen!
Her er hvordan jeg gjør det nå en ny epost kommer i innboksen min. OBS! Jeg har satt opp min epost slik at det går 15 minutter mellom hver gang det kommer epost inn. Så blir jeg ikke forstyrret og kan konsentrere meg om det jeg holder på med. Jeg er tilhenger av “single-tasking” – å beholde konsentrasjonen – det gir mindre stress.

• Jeg sjekker: Er dette en epost som bare er til meg? Er den til en liten gruppe på under fem personer eller er den til alle? Dette ser jeg av de blå prikkene i Notes-klienten min. Har du ikke blå prikker sier du? Oppgrader til siste versjon og kryss av i preferences!
• Jeg åpner de som bare er til meg først: Er det beskrevet noe jeg skal gjøre? Hvis ja, kan det gjøres på under to -2- minutter? Hvis ja, så gjør jeg det med en gang. Deretter sletter jeg eposten – også den jeg sender tilbake.
• Hvis det jeg skal gjøre vil ta mer enn to minutter, så flagger jeg eposten til jeg er ferdig med de gjøremålene jeg har bestemt meg for å gjøre i dag.
• Om det er en epost som angår et prosjekt jeg holder på med, eller som en gruppe kolleger av meg bør informeres om, ja, så drar jeg eposten ut av innboksen og slipper den i relevant prosjektrom/aktivitet i IBM Connections (vårt sosiale samhandlingsverktøy). Jeg har dette verktøyet som en plugin i Notes-klienten så jeg behøver ikke klippe og lime eposten inn i et annet verktøy. Og – ikke minst – jeg sender den ikke videre som epost for deretter å få “ørten” versjoner av eventuelle vedlegg. Dessuten har jeg da full kontroll på hvem som har tilgang til eposten!
• Om det er en epost som ikke har noen som helst verdi for meg så gjør jeg kort prosess: Jeg drar den rett i søppelbøtta. Og jeg tømmer søpla før jeg stenger ned for dagen!
• De maks fem epostene – jeg kaller det 5-Om-Dagen som ligger igjen når dagen er slutt skal alle være flagget for å minne meg på at jeg skal gjøre noe med dem. Men neste dag skal ingen av dem være flagget! Da skal oppgaven være gjort!

Det verste jeg ser er folk som lagrer eposter i mapper i postboksen sin. De lager sitt eget lokale arkiv og bruker masse av tid på å finne frem til gamle eposter. Det som da skjer er at ingen andre har tilgang til eposten deres dersom de mister PC’en sin eller blir overkjørt av trikken. En person som jobber på den måten blir en øde øy i organisasjonen. Han eller hun har i prinsippet mindre verdig for bedriften enn om vedkommende delte sin kunnskap (som bla. ligger i epostboksen) med andre i organisasjonen.
